Customers – How Do I Create A Customer Invoice

Creating a Customer Invoice

To create a customer invoice, go to Deals/Deals List. Select the deal for which you need to create the invoice. Click Create Invoice, or navigate to Deal Details/Operations and use the +CUSTOMER INVOICE button to create the invoice.

Please note that a Customer Invoice can be created only if a deal is saved as a Booking.

A confirmation window will appear before creating a customer invoice as an added safety. Operators can avoid creating customer invoices by mistake, allowing for a smoother workflow. The window automatically appears once the Create Customer Invoice button is clicked.

Viewing and Sharing the Invoice

The invoice you create will appear in the Operations/Customer Invoices list and under Deal Details/Operations. You may print or email the invoice using both the general list of Customer invoices or from within Deal details.

You can view the invoice history by clicking on the “Documents” button. Every time the “Print” button is pressed, a new version is generated with the current invoice status.

Upon receiving a customer payment, the invoice details will change to reflect the updated amounts.

Modifying the Invoice

Clicking on the invoice number opens the invoice’s details. In here, you can choose whether to print the Itinerary on the invoice or not, or to enter a custom text to be printed on the invoice.

You may edit Payment details, including setting a Down Payment amount, Down Payment Due Date, Rest Payment Due Date, and Payment Type. If you need to modify anything related to Payment details, go to Operations/Customer Payments and make the necessary changes there, as this information will be displayed on the invoice when printed.

Creating a Credit Note – Cancelling an Incorrect Customer Invoice

If the customer invoice created is incorrect and cannot be rectified through editing, you will need to create a credit note for this invoice. To do so, you can:

  • select the customer invoice from Operations/Customer Invoices and choose Create Credit Note.
  • select the customer invoice from Deal Details/Operations, click on the three dots in the upper right corner and select Credit Invoice.

This will create a credit note entry in the Customer Invoices Listing, with its code starting with “C”.

Viewing a Customer’s Invoices and Payments

The list of all invoices issued to a customer can be found under Customer/Customer Details.

Viewing all Customer Invoices in the System

The list of all invoices for all customers can be viewed in Operations/Customer Invoices.
